Graduation FAQs

As you can imagine we receive a high volume of queries and it’s likely you'll find an answer to your question here without needing to contact us.

If you can’t find an answer to your question, we’re more than happy to help – contact us on graduation@aub.ac.uk and the Graduation team will reply directly to you.

Please note all plans detailed in the FAQs are subject to the latest Government advice regarding COVID-19. We'll continue to monitor the situation and we hope to run a full physical event celebrating your achievements. However, we must proceed with caution as the welfare and safety of all our graduands, guests and staff remain our priority. If it becomes necessary to alter, postpone or cancel the event then we'll be in touch with you.

General Information

AUB Graduation ceremonies are held at the historic Bournemouth Pavilion.

The ceremony is hosted in the theatre and student gowning is carried out in the Ballroom (which will be clearly signposted on arrival).

Official photography will take place in Pavilion Dance South West (PDSW), which is located at the side of the Pavilion and will be clearly signposted.

The post-ceremony Marquee Reception will be hosted in the Beach Marquee. This is approximately a 10-minute walk from Bournemouth Pier. Access is ticket-only.

You'll receive an email to your student or personal account advising when registration for Graduation will open. Once open, you can register by clicking the link in the registration email.

As a graduating student your place at the Graduation ceremony and post-ceremony Marquee Reception is free.

During registration, you can also purchase and pay for your guest tickets (a maximum of two guests per student) and advise if your guests have any special requirements that we need to be aware of (e.g access, wheelchairs, blue badge holders)

You must complete the registration task regardless of whether you are attending graduation or not as we require this information for event planning purposes.

The Registry Department will contact you with information about what action you may need to take, such as resubmitting any work. In the case of re-submission, if the re-submission is successful then it is possible to attend the next academic year’s Graduation ceremony.

If you've already registered to attend Graduation this year, we can provide a refund for any tickets purchased. Please contact graduation@aub.ac.uk.

AUB won't allow any student to attend Graduation if they have outstanding fees. These fees could include things such as library fines, equipment hire and tuition fees. In the event that you have unpaid fees, your Graduation tickets will be withheld and not released until all debts have been cleared.

Please visit the Finance Team to discuss or make payments of any outstanding fees.

All 2023 graduands will receive their official certificate in the post, several weeks after the ceremony. Your certificate will be posted to the address that you've provided on your student record (unless otherwise requested). Please speak to the Registry team if you wish to discuss your postal address.

Tickets for graduation will be available from early June.

During registration, you can provide a UK postal address (UK posting only – we're unable to post to addresses outside of the UK). If you don't have a UK postal address, we can arrange collection by a nominated classmate from campus or collection on the day at the venue. We're trying to reduce in person collections where possible.

Please bear in mind that as tickets will be posted in June/July, ensure you are still living at the address at this time.

Registration

The Graduation team need to know if you're attending or not in order to plan the ceremony and post-ceremony Marquee Reception – this ensure you all have a memorable day and enjoy the celebration after all your hard work!

No, unfortunately you have to attend the day that your course ceremony is taking place along with the rest of the graduands on your course, you're not able to transfer to another day.

Guest tickets can be purchase via the registration task. Each student can purchase a maximum of two guest tickets.

No, as a graduating student you attend graduation free of charge – you won't require a ticket for the ceremony but you'll be given a ticket for the post-ceremony Marquee Reception which you need to bring with you on the day. You do need to hire a robe from Ede and Ravenscroft – see gowning section of FAQs.

Each student can purchase a maximum of two guest tickets. They are priced at £25 per ticket. This includes the ceremony and post-ceremony Marquee Reception.

It's not possible to buy additional tickets for the ceremony/post-ceremony Marquee Reception. Each guest needs to have their own ticket for the ceremony and entrance to the post-ceremony Marquee Reception.

Yes, children can attend the ceremony however we do advise that this is a formal proceeding of events that's being filmed and therefore may not be suited to younger children/babies. Should there be disruption in the theatre then one of our ushers may politely ask for any young children/babies to be entertained in the foyer area by their parent/guardian so as not to disturb the ceremony. Please note that children over three require their own ticket for admission.

Yes, we need to know if you are attending in order to include you in the seating plans.

Yes, contact the Graduation team on graduation@aub.ac.uk and they'll amend your booking and arrange a refund of any guest tickets purchased no longer required.

If you've already received your ticket pack you'll need to post all the contents back to the Graduation team before a refund can be issued.

During registration you're able to indicate any disabled guests or special requirements they may have, the Graduation team may then contact you for additional information in order to ensure we can meet your needs effectively. Alternatively, email graduation@aub.ac.uk

Registration opens on 20 March 2023 and closes on 12 May 2023. Regardless of whether you're attending graduation or not you must complete the registration process.

Gowns, dress code and photography

Graduation is a formal celebration of your achievements therefore most graduands and their guests like to dress smartly for the occasion.

Graduating students will be required to wear gowns (which should be pre-hired for a fee from our recommended gown hire company Ede and Ravenscroft (E&R)), without a gown you won't be permitted to cross the stage.

Helpful tips:

  • The theatre is likely to be hot so we recommend lighter clothing for graduands and guests (jackets are not required).
  • You'll need to navigate stairs onto and off of the stage therefore we recommend a sensible heel height.
  • Wearing a shirt/blouse with a button will allow the hood of the gown to be securely fastened and stay in place. Carrying safety pins can also be useful.
  • You'll be wearing a hat so please ensure any hairstyles, particularly ‘up-dos’, will allow the hat to be positioned on your head – hair grips are advisable to secure it in place.
  • Due to COVID-19, the E&R staff may ask you to dress yourselves in the robes to minimise person to person contact but they'll verbally direct you how to wear the items

Personal belongings can't be taken onto stage. We recommend leaving these items with your guests or alternatively using the cloakroom that's provided as it's possible you won't return to the same seat once you cross the stage.

All students attending graduation must hire a gown in advance of the graduation ceremonies. Our recommended supplier of AUB graduation gowns is Ede and Ravenscroft (E&R).

Gown/Photography booking opens 27 March 2023 and closes 29 June 2023.

For Ede and Ravenscroft gown hire, prices can be found on the Ede and Ravenscroft website and bookings are to be made directly with them. You can do this online, or over the phone (01223 861 854). Please note, bookings via phone incur a £5.00 supplementary charge.

  • BA gown/hood – £45
  • MA gown/hood – £51
  • PhD gown/hood – £58

Ede and Ravenscroft will require your height and head measurements for the booking.

You'll be sent an email confirming your gown hire that includes your gown reference number. You'll need to print out and present this email to the Ede & Ravenscroft staff at the ceremony venue in order to collect your gown on the day of your graduation.

You must hire in advance – you can't hire on the day.

If using Ede and Ravenscroft, the E&R website will ask you to confirm which award you're going to receive – there'll be a choice of BA, MA or PhD dependent upon your level of study.

The hood colours for AUB are deep purple and lime green and the hood will be included with your gown hire order.

With Ede & Ravenscroft, it's possible to cancel your booking a minimum of seven working days prior to the ceremony and receive a refund. You'll need to contact E&R directly in order to do this. Please note that a small administration fee may apply depending on when the order was made.

Commemorative photo packages are available and can be booked in advance via the E&R website. You can't purchase on the day this year due to COVID-19 – you must buy the desired package in advance online. Photography will be taken after the ceremony in Pavilion Dance South West located at side of the Pavilion.

On the day

The ceremony will be held at the Bournemouth Pavilion located in Bournemouth town centre. Gown collection will be from the Ballroom, we recommend arriving 90 minutes prior to the start of your ceremony in order to be gowned.

Guests will not be able to access the Pavilion or Gowning Areas.

Graduands and their ticketed guests will be seated together in the theatre.

Guests without tickets can view the live stream from the AUB website.

If your guests wish to sit with other guests please ensure you enter the theatre together to increase the possibility of locating seats close by. Guests with limited mobility and other special requirements who have contacted us in advance are the only guests who will have reserved seats available.

All ceremony and event plans are subject to the latest guidance and advice from the Government regarding COVID-19.

There's no parking at the Bournemouth Pavilion on the day, however there are several local car parks close to the venue – please download the parking map for further details.

Bournemouth in summer is extremely busy with tourists and parking can be limited so we advise leaving plenty of time prior to the ceremony in order to park your vehicle.

We suggest arriving at least 90 minutes before your ceremony is due to start to allow time for you to be gowned prior to your ceremony commencing. Please allow time for traffic and parking as Bournemouth in the summer months is a bustling town busy with locals and tourists.

No, unless you're collecting your guest ticket pack on the day from the collection point, in which case photo ID will be required. Please note, only you can pick up your ticket pack – family member or friends aren't permitted to do this on your behalf.

Late arrivals can't be guaranteed admittance into the theatre once proceedings have commenced, therefore it's possible you may not be able to cross the stage to ‘receive’ your degree. Please ensure you allow plenty of time for both you and your guests to arrive at the venue prior to the start of the ceremony.

Approximately one hour 30 minutes, timings per ceremony can vary slightly.

No extra tickets will be available due to venue capacity.

Please do not contact us to ask for additional tickets as we'll need to refuse your request.

  • On arrival at the Pavilion Theatre, graduands will head to the Ballroom to be gowned – family/friends can't accompany you into the gowning room so please say your goodbyes as this will be the last time you see them until the ceremony has ended
  • Guests are welcome to gather outside the Pavilion before the ceremony begins. There will be a refreshment cart and AUB Graduation merchandise available for purchase.
  • The theatre will open 30 minutes prior to the start of the ceremony and all guests with tickets will be able to take their seats
  • Student ushers will meet graduands in the Ballroom and call out each course and assemble you into order. They'll hand you your name card and escort you into the theatre to take your seats.
  • Once in your seat, the student ushers will direct you from your seat to the stage, so please ensure you have your name card ready to present when taking the stage.
  • Graduands are presented individually by name within their course
  • Once your name is announced, you'll walk to the centre of the stage and doff (or tip) your cap in acknowledgement of the Chancellor. You'll continue to then cross the stage to the far side and then exit via the stage steps.
  • You'll then be ushered back to your seat, this may be a different seat to the one you previously occupied.

No, we only read your name out. Classification will be included in the official programme.

After gowning the student ushers will get you into courses and line you up alphabetically. You'll be provided with a name card that has your first name and surname as per your student record (and a pronunciation if this has been previously provided). This will be read out by your Dean as you cross the stage.

If you've officially changed your name we require confirmation of the deed poll certificate in order to make any changes.

Once the ceremony has concluded, all graduates and guests will be directed out of the Pavilion Theatre to reunite at the designated meeting point on the lower terraces of the Pavilion before making your way to The Beach for the post-ceremony Marquee Reception.

The reception lasts one hour (last entry is 15 minutes prior to closing). Your reception ticket is required for entry and entitles you to one glass of bubbly. A live band will be performing. During this time, or once the reception has ended, you also have the opportunity to:

  • If pre-booked through E&R, get your official photos taken, located in Pavilion Dance South West (PDSW)
  • Purchase your official AUB Graduation memorabilia such as AUB Graduation Hoodies from the Campus Clothing stand

Finally, please make sure you return your gown to Pavilion Dance South West by 18.00 at the latest.

Accessibility

During registration, you're able to indicate if you have any mobility or other special requirements. The Graduation team will then contact you for additional information in order to ensure we can meet your needs effectively. Alternatively, email graduation@aub.ac.uk to inform us.

Please note there are steps leading up onto and off of the stage as you cross to accept your certificate. If you have any concerns about steps, please contact us, and we can discuss alternative arrangements.

If you've been sent a parking permit in your ticket pack, your reserved parking space will be located at the Pavilion Theatre.

Please note there are a few steps to negotiate leading up onto and off the stage. There are also steps both on entry to the Pavilion Ballroom (gowning) and several exiting the building post-ceremony to the lower terraces. However, there's an alternative accessible route that will avoid the entry/exit steps – please follow the signs or ask a member of staff to assist you.

If you have a reserved parking spot at the Pavilion or your guests are dropping you off at the Pavilion for gowning, guests are welcome to gather outside the main entrance of the Pavilion for photos (before graduands enter the building to collect their gowns). There will be a coffee/tea cart in the car park selling refreshments, as well as a stand selling AUB memorabilia. Doors open for guest seating 30 minutes prior to the scheduled start of the ceremony.

For anyone who cannot negotiate steps, please follow the accessible route signs that will direct your guests to a lift that will take your guests to the lower terrace level. AUB staff will be available to assist and direct.

If your guests have a green reserved seating card, they will present this with their tickets at the doors and staff will direct them to the reserved seating section at the front of the hall. Spaces for wheelchairs will be next to single seats in the reserved seating area. All reserved seats will be marked in the graduand's name so can be easily identified. There'll be a designated special requirements co-ordinator there to greet and assist your guests to their seats.

At the end of the ceremony there will be a staggered exit. The special requirements co-ordinator would be pleased to assist any guests that may need support departing and directing them to the central meeting point (signposted) at the rear of the Pavilion to meet up with the graduands following the ceremony. From there you can mingle and take photos (or visit professional photography if pre-booked in PDSW that is fully accessible on ground level) before relocating to the Beach Marquee, approx. 10-minute walk left of the pier. The route along the promenade is flat and accessible.

On arrival at the Marquee, there is track matting into the Marquee making it accessible for all, and the Marquee is fully carpeted. It's a standing reception, however some chairs will be available on request. If you require a chair, please ask a member of staff who'll retrieve one from back of house for you. There are also disabled toilets at the rear of the marquee.
